Storage Coordinator
Full Time Hourly – Portland
Overview:
The Storage Coordinator is responsible for assisting with the overall tracking, management, and care of all artwork stored or transiting through Art Work FAS facilities as well as the efficiency, optimization, and cleanliness of our storage areas. This includes commercial activities, collection documentation, assisting with the management of ongoing accuracy of the database, and the safe handling and storage of all artwork in storage and dock areas. The Storage Coordinator will assist the Operations Manager in service requests, by managing all dock activity, both receiving and releasing.
This role requires detailed knowledge of collections management and registration, collections management databases, and museum best practices in art handling, or the capacity and interest in learning these areas of expertise. The Storage Coordinator will work on long- and short-term projects in the storage areas, as well as off-site job locations. This role reports to the Operations Manager and typically works M-F 9:00am – 5:00pm.
Position Type and Hours Worked:
This position is an hourly, non-exempt role. Nonexempt employees are workers who are entitled to earn the federal minimum wage and qualify for overtime pay, which is calculated as one-and-a-half times their hourly rate for every hour they work above and beyond a standard 40-hour workweek. There is no employee management, oversite or direction required.
Duties and Responsibilities:
- Dock Coordination:
- Complete all dock activity, both receiving and releasing objects to company employees and 3rd party transporters, and correctly completing all transport documentation as required
- Completing provided internal documentation for all incoming/outgoing storage items as directed by management. Includes documentation of client hours and condition reports as needed
- Inventory – Physical Migration:
- Placement of long- and short-term storage items, using company guidelines and industry best practices for safe and efficient placement
- Ensure the safe handling and storage of all artwork in the storage and dock areas
- Support artwork storage methods, assist in re-housing and artwork storage projects
- Working with Operations Manager on space optimization of storage racking and complete instructed re-housing as directed
- Inventory – Data Entry:
- Create new records and update records, track locations, and attach images to Art Manager Inventory database on a mobile device
- Real-time tracking of all object movements inside facilities, from receipt to storage acceptance, and release. Includes both temporary and long-term storage items
- Assist the Storage Department Manager with database records and overall data consistency and accuracy
- Inventory Security:
- Assist with conducting physical inventories at all storage locations
- Maintaining security protocols regarding access to, information about, and movement of objects held in our care
- Adhere to all company safety policies. All safety concerns must be reported to your manager, and immediately addressed or corrected
- Maintain full compliance with CCSF/IAC regulations as needed
- Facilities:
- Maintaining clean and organized storage facilities
- Work closely with the Facility Manager for viewing room improvements and maintenance
- Organize and maintain overall cleanliness, security, and safety of Art Work FAS’ storage areas. This includes maintaining cleaning schedules and performing regular sweeping, bug trap inspection, and rack cleaning
- Monitor the environment in all artwork storage facilities and report to Storage Department Manager
- Maintaining clean and organized storage facilities
- Art Handling
- Packing of items for storage, both at warehouse and in the field.
- Assisting art handling team as needed
Other Responsibilities Include:
- Organize and maintain overall cleanliness, security, and safety of Art Work FAS’ many storage areas. This includes maintaining cleaning schedules and performing regular sweeping, bug trap inspection, and rack cleaning
- Assist with conducting physical inventories at all storage locations
- General labor estimates as requested by the Storage Department Manager, Operations Manager, or Project Manager(s)
- Assisting with the maintenance and cleanliness of the docks
- Other duties as assigned/agreed
Estimated Time in General Activities:
- 35% placement and relocation of stored items, storage area maintenance
- 10% dock activities – receive, release and dock maintenance
- 15% preparation/removal of storage items being released to shipper or delivery to client
- 30% data entry
- 10% supporting art handling team in the field
Required Qualifications:
- Minimum 2 years’ experience in a high-volume art service company, museum, or gallery
- 1+ years Art Handling experience
- Proficiency in collections management databases preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)
- Certified forklift/aerial manlift operator preferred.
- Knowledge of museum storage, art handling and transportation best practices
- Attention to detail and accuracy in communication
- Ability to work independently to manage art movement and database entry, as well as work as part of a collaborative team
- High competency on warehouse lifting equipment (i.e. forklift, order picker, etc.)
- Ability to lift 75lbs
- Bachelor of Arts Degree in the arts or museum studies or equivalent, or combination of education and experience
Preferred Experience:
- Forklift certification
- Rigging experience
- Awareness and understanding of mounts, supports and structures. Mount-making or framing experience a plus.

Pay Range for this position is $21-$25/hr
